Two reasons credit unions choose VendorLockbox.

Time

Stop reading documents. Start reviewing AI findings.

VendorLockbox reads your contracts, SOC reports, and insurance certificates so you do not have to. You review the findings, each one cited to a specific page, and approve or correct. The entire program runs with a fraction of the manual effort.

Budget

The first missed renewal pays for years of VendorLockbox.

Auto-renewal notice windows are easy to miss. VendorLockbox tracks the date you have to act, not just the contract end date. One caught renewal typically covers the subscription for years.

How it works

The same program, minus the manual work.

Every step below still happens. You just stop being the one who does it.

Today

Managed by hand

  1. You gather documents manually

Chase vendors by email for SOC reports, insurance certs, and signed contracts.

  2. You read 200-page SOC reports

Hunt for the opinion type, the exceptions, and whether the bridge letter covers the gap.

  3. You enter data in spreadsheets

Retype renewal dates, liability caps, and provision coverage into a tab nobody else maintains.

  4. You monitor expiration dates

Set calendar reminders and hope the auto-renewal notice window is on one of them.

  5. You assemble board packages

Rebuild the same narrative from scratch every quarter, a week before the meeting.

With VendorLockbox

Managed by AI, reviewed by you

  1. Vendors email documents in

Give vendors your secure address. Files arrive without a single follow-up from you.

  2. AI files and analyzes them

Every document is classified, attached to the right vendor, and read on arrival.

  3. AI extracts with citations

Each field carries its source page, the exact sentence, and a confidence score.

  4. AI monitors daily

Notice deadlines, expiring evidence, and new gaps surface before they cost you.

  5. AI generates board packages

One click. The narrative is written from your actual program data, every finding traceable.

What the AI does

Built specifically for NCUA-regulated institutions.

Six ways the AI removes work from your week - and the program record that proves every bit of it.

AI contract extraction · All plans

AI Contract Extraction

VendorLockbox extracts 20+ NCUA-relevant fields from every contract - renewal dates, notice windows, liability caps, required provisions. Each field arrives with its source page, the exact quote it came from, and a confidence score. You confirm; you do not re-read.

Extracted fields22 of 22 · Core Banking MSA
  • Auto-renewYes · 60-day noticehigh confidence

…renews automatically for successive one-year terms unless either party gives written notice… p. 14

  • Cancel byNov 15, 2026high confidence

You confirm or correct each field. Both the AI finding and your edit are logged.
SOC report analysis

SOC Report Analysis

The AI reads the report and identifies the opinion type, the exceptions the auditor noted, and whether the bridge letter actually covers the gap since the review period closed. A 214-page SOC report becomes a structured, cited review in minutes.

Evidence gap detection

Evidence Gap Detection

VendorLockbox applies evidence requirements by vendor type and risk tier, informed by NCUA guidance and credit-union industry practice. It compares what is expected against what is on file and tells you what is missing - before your examiner does.

Automated email alerts at 120, 90, 60, and 30 days before any contract expires. Expiring SOC 2 reports and insurance certificates surface automatically. And when a contract has a cancellation window - the date you must notify the vendor to stop auto-renewal - the AI monitors that deadline separately and alerts you at 30 days, 7 days, and the day itself. The math

Stop paying for contracts you didn’t mean to renew.

A single missed auto-renewal can cost more than a year of VendorLockbox. VendorLockbox alerts you before the cancellation window closes - with enough time to act.

At a 3-year average term, roughly 13 of those contracts come up for renewal every year.

Catch one unwanted auto-renewal and VendorLockbox has paid for itself many times over.

An illustration. Missing the notice window doesn’t always mean paying the full term - but it does mean you’re renegotiating from a weak position instead of walking away on your terms. Tracking notice deadlines is the point.

Unused analyses do not roll over. When the monthly allowance is reached, documents are queued and processed when the next cycle begins, or you can purchase a one-time document pack. An analysis is not consumed if processing fails due to an error on our end. Reprocessing a corrected or re-uploaded document uses one additional analysis.

Frequently asked

Answers to the questions we hear most.

Still have questions? [email protected]

How does VendorLockbox use AI?
AI reads documents and surfaces findings - it does not make decisions. Every extracted field shows the source page and exact quote. You approve or correct material findings. Decisions affecting risk tier, criticality, and incident response always require human approval. All AI processing runs on Microsoft Azure OpenAI Service (Azure Foundry), hosted in the United States - your documents never leave US-based Azure infrastructure.
Can I trust the AI extractions?
Every extracted field includes the source page, the exact sentence it was drawn from, and a confidence score. Low-confidence findings are flagged for review. You are not trusting the AI - you are verifying its work, which takes seconds instead of hours.
What happens when AI makes a mistake?
You correct it. The correction is logged in the audit trail alongside the original AI finding - which is actually stronger evidence than a form field with no history. Examiners can see what the AI found, what was reviewed, and what was confirmed or corrected.
How long does setup actually take?
Plan on a few hours for initial setup. Importing your vendor list via CSV is a single step, but uploading contracts, running your first document analyses, and generating an exam report takes time to do properly. Building out full due diligence and evidence coverage across every vendor is ongoing work - what the first session gets you is a populated registry, analyzed contracts, and a working exam report.
We're a $40M credit union. Is this built for our size?
Yes - specifically. Enterprise tools often require quote-based pricing, implementation projects and broader GRC commitments - which most credit unions with lean teams are trying to avoid. We built VendorLockbox for the CFO or ops manager who handles compliance as part of their job, not as a full-time role.
What does the NCUA examiner actually see?
We generate a formatted report covering six program areas mapped to NCUA third-party risk guidance: vendor inventory, due diligence, contract provisions, document freshness, board oversight, and program governance. The grouping is ours, not a list the NCUA publishes - it is how we organize the evidence an examiner asks for, in one document.
Is my data secure?
All data is encrypted at rest and in transit. Our SOC 2 Type I audit is in progress. You can delete all your data at any time. We never sell or share your data.
Do I need to enter payment details to start?
Your 30-day free trial starts the moment you sign up. We collect a card or bank account number upfront so there's no interruption if you decide to stay - but nothing is charged until day 31. At the end of your trial, if you haven't upgraded, your account switches to read-only mode for 30 more days so you can export your data. We will never charge you without your explicit action. Pay by credit card or ACH bank transfer - ACH has a flat $5 processing fee regardless of plan size.
Can I cancel anytime?
Yes. You can cancel at any time from your billing settings. When you cancel, your subscription will not renew at the end of the current billing period. You keep full access through the date you have already paid for. No refunds or prorated credits are issued for unused time.
We already use a legacy enterprise tool. Why switch?
Those tools were built for FDIC/OCC-regulated banks and retrofitted for credit unions. VendorLockbox was built NCUA-native from day one. Setup is self-serve, pricing is published, and you don't need an implementation team.

Get exam-ready before your next NCUA visit.
